Terms of Service

These Terms of Service (‘Terms’) govern your use of the Pax Anima software-as-a-service platform (‘Service’) operated by Pax Anima BV (‘we’, ‘us’, ‘our’). By creating an account or using the Service, you agree to these Terms.
1. The Service
Pax Anima provides chain-of-custody tracking, workflow management, and communication portals for pet crematoriums, veterinary clinics, and affiliated logistics operators. The Service is provided on a subscription basis.
2. Account registration
You must provide accurate, complete, and current information when creating an account. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. Notify us immediately at [contact email — fill in] if you suspect unauthorised access.
3. Free trial
New accounts receive a 14-day free trial. No payment method is required to start a trial. At the end of the trial period the Service will be suspended unless you activate a paid subscription. Trial data is retained for 30 days after suspension before permanent deletion.
4. Subscriptions and billing
Subscriptions are billed monthly or annually as selected at signup. All prices are in EUR, excluding VAT. You authorise us to charge your payment method at the start of each billing period. Subscriptions auto-renew until cancelled. You may cancel at any time; cancellation takes effect at the end of the current billing period. No refunds are issued for partial periods.
5. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose.
- Attempt to gain unauthorised access to any part of the Service or its infrastructure.
- Introduce malware or conduct denial-of-service attacks.
- Resell or sublicense the Service without our written consent.
- Use the Service to process data unrelated to pet aftercare services.
6. Data and privacy
You are the data controller for personal data you enter into the Service (pet owner information, case data, etc.). We act as your data processor under the Data Processing Agreement (DPA) available on request; Enterprise plan customers receive a signed DPA as part of their subscription. You are responsible for ensuring you have a lawful basis to process that data and for providing appropriate privacy notices to the individuals concerned.
Our processing of your account data is governed by our Privacy Policy.
7. Intellectual property
The Service and all related software, designs, and documentation are owned by Pax Anima BV. We grant you a limited, non-exclusive, non-transferable licence to use the Service during your subscription. You retain ownership of all data you upload.
8. Service availability
We target the uptime levels stated in your plan (99.5% for Professional, 99.9% for Enterprise). Scheduled maintenance windows are excluded. No uptime SLA applies to the Starter plan or during a free trial.
9. Limitation of liability
To the maximum extent permitted by Belgian law, our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the fees you paid in the three months preceding the claim. We are not liable for indirect, incidental, or consequential damages.
10. Termination
We may suspend or terminate your account immediately if you breach these Terms. You may terminate at any time by cancelling your subscription. On termination you have 30 days to export your data; after that, data is permanently deleted subject to legal retention obligations.
11. Changes to these Terms
We will notify you by email at least 30 days before material changes take effect. Continued use of the Service after the effective date constitutes acceptance.
12. Governing law and jurisdiction
These Terms are governed by Belgian law. Any disputes shall be submitted to the exclusive jurisdiction of the courts of Brussels, Belgium.
